Job description, responsibilities and duties

Responsibilities:
• Business support to the Head of the Executive Office and Executive Office team;
• Participation in preparation of weekly and daily business reports (information gathering, processing and reports compilation);
• Managing and maintaining executives’ schedule;
• Managing communication channels between various INSIGNIA Group of Companies offices in order to ensure supervision of the tasks execution and timely status update for various projects; project management and project support when required;
• Coordination (communication and business support) of the selected fields of activities and/or business units;
• Planning, organizing and coordinating the conferences, business meetings, events, seminars;
• Liaising with external organizations and business partners to arrange meetings, prepare agendas and draft minutes;
• Providing research and information support;
• Preparing and editing documents, presentations;
• Cooperating with Company staff on business tasks execution.

Personality requirements and skills

Requirements:
• Minimum of a Bachelor's degree or equivalent education level; degree of a top-ranked university is a plus;
• 2+ years of either (i) executive assistance, and/or (ii) project management/project support (preferably in IT or finances), and/or (iii) junior business position/team assistant in creative/PR agencies, asset/wealth management, family offices, investment banks experience;
• Project management certificate (any methodology) is a plus;
• Experience in working in the international environment is a plus;
• Excellent computer skills in a Microsoft Windows environment (including Excel, Word, Power Point); skills in Visio (or equivalent) is a plus;
• Excellent written communication skills; ability to communicate freely with top managers, HNWI, Board Members etc.;
• English language: fluent oral and written;
• Other languages are a plus (Russian, Slovak, German, Italian);
• Capability of working extra hours if and whenever necessary;
• Ability to handle stress situations, challenging environment and multi-tasking;
• Willingness to dedicate significant amount of time to business trips is a plus;
• High standards of ethics and confidentiality to handle sensitive information.
